How to Backup Mailboxes data from Exchange Online?

I'm relatively new to managing Exchange Online and I'm a bit overwhelmed with understanding the best practices for data backup. We're a small to medium-sized business heavily reliant on email, and I want to make sure we have a solid plan in place to protect our mailbox data.

From what I understand, Microsoft provides some level of data redundancy and recovery within Exchange Online, but is that truly enough for a comprehensive backup strategy? What are the key considerations I should be aware of? Are there specific tools or methods you recommend for backing up mailboxes beyond what Microsoft offers natively?

Any advice, best practices, or insights from experienced admins would be greatly appreciated!

You're right that Microsoft provides built-in redundancy and features like Litigation Hold and eDiscovery. These are excellent for data preservation and compliance, and they offer a good level of protection against accidental deletion or even malicious activity within Exchange Online.

However, many organizations, especially those with stringent RTO/RPO requirements or specific compliance needs, find that these native capabilities alone aren't a true "backup" in the traditional sense. Here's why:

Shared Responsibility Model: Microsoft manages the infrastructure, but you are responsible for your data. If you accidentally delete a mailbox and it goes beyond the retention period (even for soft-deleted mailboxes), or if there's a highly targeted attack that bypasses native defenses, you might be out of luck without an external backup.
Granular Restore: While eDiscovery can export data, it's not always the most efficient way to restore a single email or an entire mailbox to its original location quickly.
Point-in-Time Recovery: Native features are more about preservation. A dedicated backup solution allows for true point-in-time recovery to a specific moment before an issue occurred.
Long-term Archiving: If you need to retain data for years for compliance, an external backup solution might be more cost-effective and manageable than relying solely on Litigation Hold for extremely long periods across many mailboxes.
So, to answer your question, yes, you likely need more than just native Microsoft features for a comprehensive backup.
